IAAPA Expo 2026 Tips for Rental Operators: Plan, Do the Math, Buy Smart

Before you walk the IAAPA Expo 2026 floor in Orlando, look at this season's bookings, set clear goals and figure out how many rentals a new unit needs to pay for itself. Read on for a simple plan.
A trade show floor full of shiny new inflatables is a great place to spend money you didn’t plan to spend.
IAAPA Expo 2026 runs Nov. 16 to 20 in Orlando, with the show floor open Nov. 17 to 20. Tent and Table, an inflatable and tent supplier that will be exhibiting, posted an IAAPA survival guide for rental operators. We pulled out the advice that holds up no matter whose booth you visit. The full guide is on their blog.
The big ideas
- Start with this season’s numbers. What booked over and over? What did customers ask for that you couldn’t rent them? What sat in storage? Walk in with a short list, not a plan to “look around.”
- Do the payback math. Figure how many rentals a unit needs just to cover its price after your per-rental costs. The guide works through a water slide example. Then ask if it will really book that often in your market.
- Check fit, not just quality. Does it fit your trailer? Can your crew set it up? Will your customers pay the rate you need?
- Wait a beat before you buy. One unit that books every weekend beats three that collect dust.
The education sessions on staffing, maintenance and delivery can also save you money without buying a thing.
Why this matters for rental owners
Inventory is your biggest spend, and show deals can make it feel urgent. A little homework before Orlando, and some patience after, keeps that money going into gear that actually earns. Think about which events you want more of in 2027, like schools, festivals, corporate picnics or graduations, and buy for those.
